Workflow Manager is a cloud-based software system for creating, distributing, tracking, analyzing, and reporting on tasks in retail enterprises. Workflow Manager is especially useful for any enterprise that needs to distribute identical tasks to a large number of people or groups and track completion of these tasks. Workflow Manager is a simple, yet powerful, tool that can scale from small enterprises with ten stores to those with hundreds or thousands of stores, and can accommodate any kind of organizational hierarchy.
How do I get started with Workflow Manager?
All you need is your company email address and a web browser with an Internet connection. Go to https://tasks.enfatica.com and register. We will send you an activation email. Follow the activation instructions and you are ready to go. Once logged in, you can invite your colleagues to join.
Is Workflow Manager secure?
Yes. Connecting to Workflow Manager is always done over a secure SSL connection (HTTPS). Each account is protected from other accounts on our system, and our system imposes strict barriers that separate accounts from each other.
What are groups and how are groups related to tasks?
Groups are the central organizing principle in Workflow Manager. A group is a collection of people in your organization--district managers, store managers, or any other team that shares similar roles. Groups are easy to create and manage through the Groups menu in Workflow Manager. People can belong to multiple groups in different capacities, and tasks can be redirected (i.e. delegated) between groups.
Tasks can be assigned to groups, to individuals, or to a combination of groups and individuals. When assigned to a group, each member of the group is required to perform the task. The task creator can monitor the status of the task and the progress of its completion. Information about the task, such as tips on how to best complete the task, or clarification on the task's description can be easily shared among assignees.
Who can create tasks?
Anyone can create tasks, but a user must have privileges to assign tasks to other individuals or groups. Privileges can be set on a per-account basis or on a per-group basis.
My company has a central "gatekeeper" for tasks. Can I use Workflow Manager with this work flow?
Yes. If you are the gatekeeper, you should first create groups for each set of people that perform the same task. For example, you might have a group for Store Managers, for District Managers, and so on. On the task creation form, you can then assign the task to one or more of the groups you created, or to one or more individuals.
Does Task Manager limit the number of gatekeepers?
You are not restricted to a single gatekeeper. Anyone with task creation privileges can act as a gatekeeper and assign tasks.
Can tasks be delegated?
Yes, a user with the ability to assign tasks can delegate a task assigned to them to another user or group. To delegate an assignment, edit the assignment and click on the "delegate" button.
Can I create repeating tasks?
Yes, tasks can be configured to repeat daily, weekly, or monthly. Repetition can be set either while creating or editing a task.
How do I share information about a task?
Task Manager has an IM-like messaging feature that lets users add comments to tasks. This is a powerful way to share knowledge about a task with colleagues. To add a message, edit the assignment and add a message in the provided text box.
How is Task Manager priced?
TBT Task Manager is priced as a monthly subscription on the per-store basis, with graduated discounts applied to smaller stores with fewer lanes, as well as very high or very small store counts.
Additional services in the areas of Business Process Development, Operational Task Optimization, End user Training as well as premium support levels and custom features can be quoted on a custom basis.
